Coach availability settings

Keeping your availability settings accurate ensures seamless scheduling and prevents double bookings. From this section, you can define when coachees can book sessions with you, set notice periods, add buffer times, and manage your session preferences.

 
 

 

 Access Your Availability Settings

  1. Click on your Profile Picture at the top-right corner of your screen.
  2. Select Settings.
  3. Go to the Available Hours tab.
  4. Click Configure to adjust your availability preferences.

 

   Time Zone

  • Set your current time zone to make sure all appointments match your local time.
  • Ensure it aligns with the time zone of your connected calendar (Google, Outlook, or others) to prevent scheduling conflicts.

 Availability Window

  • Choose the days and time slots when you’re available for sessions.
  • Only the time frames you select will appear as bookable options to your coachees.

  Minimum Notice Time

  • Decide how much advance notice is required before a coachee can schedule a session.
  • You can set this in minutes or days to allow enough preparation time.

 Buffer Time

  • Add extra time before and after sessions to avoid back-to-back appointments.
  • Ideal for note-taking, preparation, or short breaks between meetings.

 Start Time Increments

  • Control how available time slots appear when coachees are booking.
  • For example, appointments can be shown in 15-minute, 30-minute, or 1-hour intervals.

  Appointment Cancellation Notice

  • Define the minimum notice period a cloachee must give to cancel a session.
  • This helps you protect your time from last-minute cancellations.

  Meeting Duration

  • Specify how long your sessions should last.
  • Clients can only book sessions that match your defined duration settings.

 

Pro Tip

  • Keep your availability synced with your external calendar (Google, Outlook, etc.).
  • All appointments will automatically update across both systems, reducing the risk of overlapping bookings.
  • You’ll also receive notifications for newly booked, rescheduled, or cancelled sessions via both the platform and email.

 

 

 Important Note

If you don’t see the Available Hours option in your settings, your Admin may have disabled this feature for your account.
