Legal & Finance contains two modules: Agreements and Invoices.

 
Agreements

To make things more official with your coachees, you can create a coaching agreement with them using the Agreements Feature. Establish your terms & conditions, schedule invoices in order to get paid on time. Agreements are un-fakeable records of who agreed to and when, and also an effective replacement for document signing services.

 

Invoices

The invoicing feature can help you keep track of unpaid invoices and helps you send them on their scheduled sending date, it can be also connected to your with Quickbooks account, meaning that all invoices that you create on Coaching Loft will automatically reflect on your Quickbooks account. The invoicing feature is still being expanded to support more third-party integrations in the future.

Managing Agreements

Create/update an Agreement
  1. When creating, click the "+ New" button at the top right side of the panel.
  2. When updating, click the Title of the Agreement or click the "Edit" button at the rightmost side of the same agreement.
  3. Fill up the required fields:
    - Title
    - Agreement Terms
    - Total Session Count: The number of coaching sessions included in this agreement.
  4. Set up scheduled invoicing sending dates.


  5. Select a Coachee or create a new Coachee file on the spot to assign the agreement.
  6. Click "Save for Later" to save the agreement.

Tip: Only click "Save and Send" if the agreement is finalized and doesn't require any further revisions.

 

Viewing an Agreement

On the Agreements list, click the "View details" button on the agreement that you want to review.

Sending and Signing an Agreement

Once the agreement is finalized, you can send them to your coachee by clicking the "Save and Send" button inside the agreement form.

Upon sending, an email notification will be sent to your coachee to review the agreement for signing.

When your coachee accepted and submitted the agreement, the agreement status will then be converted to active.

Managing Invoices

Create/update an Invoice
  1. When creating, click the "+ New" button at the top right side of the panel.
  2. When updating, click the Title of the Agreement or click the "Edit" button at the rightmost side of the same agreement.
  3. Fill up the required fields:
    - Invoice Number
    - Coachee Selection
    - Sending Date
    - Invoice Due date
    - Item fields
  4. Click "Save" once done, or immediately send the issued invoice to your coachee by clicking the "Save and Send" button.
 
Viewing the Invoice

To view the invoice, click the Invoice number of the invoice you want to view within the Invoices list.

Invoice Sending

Normally, invoices are being sent automatically on its scheduled sending date, but you can still manually send the invoice by clicking the "Send" button found at the right side of the same invoice within the Invoice list panel.

Alternatively, you can also send the invoice from inside the invoice form by clicking the "Save and Send" found at the bottom of the form.

 

Invoices from Agreements

If you have an active Agreement on your coach account that has a scheduled invoicing dates, the system will automatically generate these invoices on the scheduled creation date, then immediately send it to your coachees. These invoice records will also appear on your Invoice list within your coach account.

Payments & Settling Invoices

Payments & Integration

The Invoices module on Coaching Loft integrates with PayPal Business, that coaches can use to get payments from their coachees.

To Integrate PayPal on your Invoices:
  1. Login to your Coach Account.
  2. Click the small profile avatar at the top rightmost side of your screen.
  3. Click "Integrations".
  4. Find and click PayPal within the integration section.
  5. Follow the integration process inside the PayPal Integration page.
  6. Once done, a PayPal checkout button will be visible to your Invoices upon sending them to your coachees.
  7. Coachees then can pay the invoice via PayPal and the payment will be sent to your PayPal Business Account.

 

Settling Invoices
To settle an invoice:
  1. Go to your Invoice list.
  2. Click the "Settle" button on the invoice that you want to settle.
  3. Fill up the Settlement form accordingly.
  4. Click "Save" once done.
