Setup time zone and availability

Setting your time zone and availability correctly ensures that coaching sessions, appointments, and reminders are scheduled accurately—for both you and your coachees.

This setup is essential for seamless calendar syncing and to avoid any confusion when booking sessions.

 

  • Log in to your Coaching Loft account.

  • Click on your profile icon at the top-right corner of the screen.

  • From the dropdown menu, click Settings. 

  • Search for "Available Hours" and click "Configure".

 

  

Set Your Time Zone

In the Time Zone section, choose your correct time zone from the dropdown list.

 Pro Tip:

Make sure your selected time zone matches the one on your calendar app (e.g., Google Calendar, Outlook) if syncing is enabled.

 

Set Your Availability

Your availability settings allow Coaching Loft to show coachees when you’re open for bookings.

1. Availability Window

Define the specific days and times you are available to accept bookings. This is what coachees will see when trying to schedule sessions with you.

2. Minimum Notice Time

Set a minimum notice period—either in minutes, hours, or days—that a coachee must respect before booking an appointment.

Example: If set to 24 hours, no one can book a session with you less than 24 hours in advance.

3. Buffer Time

Add buffer time before and/or after each appointment. This prevents back-to-back sessions and gives you breathing room between meetings.

Example: 15-minute buffer means a session at 10:00 will block the next slot until 10:45 if your session is 30 minutes.

4. Start Time Increment

Choose the time interval (e.g., 15, 30, 60 minutes) at which available time slots are displayed to coachees when booking.

Example: A 30-minute increment will show 9:00, 9:30, 10:00, etc.

5. Appointment Cancellation Notice

Set the minimum amount of notice a coachee must provide in order to cancel their session. This protects your time and reduces last-minute cancellations.

6. Meeting Duration

Select the default session length (e.g., 30, 45, 60 minutes) that coachees can choose when scheduling with you. 

 

 Pro Tip:

  • These settings are fully customizable and can be updated at any time. Keeping them accurate ensures better control over your calendar, fewer conflicts, and a smoother client experience.
  • When your calendar is integrated (Google or Outlook), appointments scheduled on Coaching Loft will automatically reflect on your external calendar—and vice versa.
  • To sync your calendar, go to "Appointments" from the menu in your coach portal, click "sync calendar" from the top right corner.

 

 

This helps you manage your time effortlessly across platforms and avoid double bookings.
