Coaching in South Africa
In South Africa, the Protection of Personal Information Act, 2013 (POPIA) sets eight conditions for lawful processing, enforced by the Information Regulator, which also oversees PAIA, and organizations must register their Information Officer with the Regulator. In POPIA's terms, the organization running a coaching program is usually the responsible party, and a platform processing data for it is an operator. Section 21 requires a written contract that obliges the operator to maintain security safeguards; enterprise clients can sign a data processing agreement with us.
Coaching notes need extra care. POPIA treats information about a person's health, sex life, religious or philosophical beliefs and several other areas as special personal information, which may only be processed under specific authorizations, such as consent. Keep that detail out of shared records, and use Coaching Loft's private notes and the account-wide default that locks who reads what a coach writes, so sponsors see goals and progress rather than conversations. Access is controlled by four admin role types and two-factor authentication admins can require, with data encrypted in transit and at rest.
Coaching Loft's servers sit in the United Arab Emirates, outside South Africa. Section 72 allows personal information to go to a third party in a foreign country only under set conditions, such as a law or binding agreement giving an adequate level of protection, the data subject's consent, or necessity for a contract. Sending special personal information to a country without adequate protection needs the Regulator's prior authorization under section 57, so your Information Officer should assess this before you go live.

COMENSA also co-signs the Global Code of Ethics, which asks members to keep client records confidential and in line with data protection law. On scheduling, South African Standard Time (UTC+2) sits one hour ahead of London during British Summer Time and two hours ahead in winter.
