Australian organizations handle personal information under the Privacy Act 1988 and its 13 Australian Privacy Principles (APPs), regulated by the Office of the Australian Information Commissioner (OAIC). Health information is sensitive information under the Act, so stricter requirements apply, and coaching notes about stress, wellbeing or burnout can easily contain it. Organizations the Act covers must also notify affected people and the OAIC of data breaches likely to cause serious harm, under the Notifiable Data Breaches scheme.
Solo coaches may fall under the small business exemption (annual turnover of $3 million or less), but the OAIC lists exceptions, including health service providers, and corporate clients above the threshold are covered. Either way, Coaching Loft helps you handle notes carefully: notes can be private, an account-wide default can lock who reads what a coach writes, admins can require two-factor authentication, four admin role types limit what each administrator can do, and data is encrypted in transit and at rest.

The OAIC notes that giving data to an overseas cloud provider can count as a use rather than a disclosure when certain conditions are met, such as a contract limiting the provider to storage and you keeping effective control, so ask your privacy officer to review our terms. Enterprise clients can sign a data processing agreement, and every customer can export their data.
