Coaching Software, New Zealand
Clients, scheduling, sessions, goals, notes, packages and invoicing, in one place, instead of a calendar, a folder of spreadsheets and a full inbox.
Coaching software in New Zealand
One platform to run a coaching practice, so the admin stops getting in the way of the coaching.
Coaching software runs the admin side of coaching in one system: clients, bookings, session notes, goals, agreements, invoices and reports. Coaching Loft does this for independent coaches, coaching firms and organizations across Aotearoa New Zealand.
Coaches take bookings, keep private notes and add GST to invoices. Firms run their coach team on a white-label platform under their own domain. Organizations run internal and external coaches, 360 assessments and group coaching in one place, and report progress to sponsors while session content stays confidential.
Coaching in New Zealand
New Zealand's Privacy Act 2020 sets out 13 information privacy principles (IPPs), overseen by the Office of the Privacy Commissioner. IPP 5 covers the storage and security of personal information. If a privacy breach has caused or could cause serious harm, you must notify the Commissioner, ideally within 72 hours of becoming aware of it, and tell the people affected unless an exception applies.
Since 1 May 2026, a new principle, IPP 3A, requires an agency that collects personal information about a person from someone else to tell that person, as soon as reasonably practicable, unless an exception applies. 360 assessments gather exactly that kind of information: colleagues' feedback about a coachee. A practical step is to explain up front, in the coaching agreement the coachee signs electronically in Coaching Loft, what feedback will be collected, why, and who will see it.
Coaching Loft stores your data on servers in the United Arab Emirates. Privacy Commissioner guidance explains that when a provider stores or processes information solely on your behalf and does not use it for its own purposes, section 11 treats the information as held by you: it is not a disclosure, so IPP 12 does not apply, and you remain fully responsible for it. That puts the weight on security: private notes, an account-wide lock on who reads coach notes, two-factor authentication admins can require, four admin role types, and encryption in transit and at rest. Enterprise clients can also put the arrangement in a data processing agreement with us.
New Zealand runs 12 hours ahead of UTC, 13 during daylight saving, and the Chatham Islands sit 45 minutes ahead of the mainland. Daylight saving starts on the last Sunday in September, a week before the Australian states that use it, so for that week the gap to Sydney grows from two hours to three. Credentials buyers recognize include ICF's ACC, PCC and MCC, with local support from the New Zealand Aotearoa branch of ICF Australasia.
An account-wide default can lock session notes so sponsors see progress, not content.
Set out in an e-signed coaching agreement what feedback you collect and who sees it.
AI matching by time zone and calendar sync keep New Zealand and Australian sessions straight.
Add 15% GST through each invoice's VAT field, schedule sending and chase unpaid invoices.

Questions
The Act places its obligations on the agency that holds the information, so we do not claim compliance on your behalf. We give you tools to meet them: private session notes, an account-wide lock on who reads coach notes, four admin role types, two-factor authentication admins can require, encryption in transit and at rest, and export of your data. Enterprise clients can sign a data processing agreement with us.
Coaching Loft's servers are in the United Arab Emirates. The Privacy Commissioner's guidance says that when a provider stores or processes information solely on your behalf and does not use it for its own purposes, it is not a disclosure, so IPP 12 does not apply. You remain fully responsible for the information, so review our terms and security controls, and ask for a data processing agreement if you are an enterprise client.
Since 1 May 2026, IPP 3A requires an agency that collects personal information about someone from another source to tell that person, unless an exception applies. Feedback from colleagues in a 360 assessment is that kind of information. One practical approach is to cover it up front: the coaching agreement, signed electronically in Coaching Loft, can explain what feedback will be collected, why, and who will see it.
Yes. Each invoice has an optional VAT percentage field, which you can set to New Zealand's 15% GST rate; Inland Revenue requires GST registration once turnover reaches $60,000 in 12 months. The field is named VAT in the product, so check during your free trial that your invoices show what Inland Revenue expects from your business. Invoices can be scheduled, chased with reminders and paid through PayPal.
